MISS EARTH KENYA
Official Wardrobe Loan Policy
To preserve the quality, integrity, and longevity of the Miss Earth Kenya wardrobe collection and garments entrusted to the organization by our fashion and wardrobe partners, all titleholders borrowing gowns are required to comply with the following policy.
1. Scope of the Policy
This policy applies to:
* Gowns and wardrobe pieces owned by Miss Earth Kenya.
* Gowns, dresses, and wardrobe pieces loaned to Miss Earth Kenya or directly to a Queen by approved fashion designers, boutiques, stylists, and wardrobe partners.
These garments remain the property of their respective owners and shall be treated with the utmost care, professionalism, and respect.
2. Purpose of the Loan
Wardrobe pieces are provided exclusively for approved appearances that uphold the values, image, and mission of Miss Earth Kenya, including:
* Environmental and sustainability advocacy events.
* Cultural showcases and heritage celebrations.
* Official Miss Earth Kenya engagements.
* Media appearances and interviews.
* Educational initiatives.
* Partner activations.
* Photoshoots and promotional campaigns.
* Community outreach programmes.
* Other authorized engagements approved by the National Office.
3. Prior Notification
Before using a borrowed wardrobe item, the Queen shall provide:
* The name, date, and location of the event.
* A brief description of the purpose of the engagement.
* How the event aligns with her role and advocacy as a Miss Earth Kenya Queen.
4. Care and Responsibility
The Queen assumes full responsibility for the wardrobe item while it is in her possession and shall:
Handle the garment with exceptional care.
Protect it from stains, tears, alterations, or any form of damage.
Not alter, pin, resize, modify, or lend the garment to another person without prior written approval.
Store and transport the garment appropriately.
Immediately report any damage, loss, or incident affecting the garment.
Where damage results from negligence or misuse, the Queen agrees to meet the full cost of repair or replacement, including any costs payable to a wardrobe partner.
5. Return of the Wardrobe Item
All borrowed wardrobe items shall be:
Professionally laundered or dry-cleaned in accordance with the garment's care instructions.Returned within *seven (7) days** of the engagement unless otherwise authorized by the National Office.
Returned in the same condition in which they were received, together with any accessories supplied.
6. Content, Advocacy & Brand Deliverables
Within seven (7) days of the engagement, the Queen shall submit:
High-resolution professional photographs.
High-quality reels and video content suitable for advocacy, educational, and promotional use.
A brief event report outlining:
-The purpose of the engagement.
-The impact of her participation.
-How the engagement advanced environmental conservation, sustainability, cultural heritage, youth leadership, or community development.
Appropriate acknowledgment of Miss Earth Kenya, the fashion designer or wardrobe partner, photographers, hairstylists, makeup artists, stylists, sponsors, and other collaborators, where applicable.
Content Usage Rights
Miss Earth Kenya reserves the right to use all submitted photographs, videos, reels, testimonials, and related content for advocacy, educational, promotional, marketing, media, public relations, fundraising, partner recognition, archival, and other official organizational purposes, with appropriate acknowledgment where applicable.
7. Brand Representation
While wearing an official Miss Earth Kenya sash, crown, or any wardrobe provided through Miss Earth Kenya or its partners, every Queen shall:
Conduct herself professionally and uphold the values, standards, and reputation of Miss Earth Kenya.
Represent Miss Earth Kenya and its fashion partners with dignity, integrity, confidence, and excellence at all times.
Serve as an ambassador for environmental conservation, sustainable development, cultural appreciation, responsible leadership, and youth empowerment through both her conduct and appearance.
Ensure that her hair, makeup, and overall styling are polished, event-appropriate, and, wherever possible, aligned with Miss Earth Kenya's sustainability values by supporting ethical, environmentally responsible, cruelty-free, and non-toxic beauty practices and products.
Give priority to official Miss Earth Kenya fashion, beauty, hairstyling, makeup, and wardrobe partners whenever designated, and appropriately acknowledge all partners and collaborators across social media and event-related content.
Maintain a polished personal presentation that reflects the prestige of the Miss Earth Kenya title while inspiring sustainable beauty and fashion choices.
Ensure that all public appearances, photography, videography, interviews, and digital content reflect the professionalism and advocacy mission of Miss Earth Kenya.
8. Non-Compliance
Failure to comply with this policy may result in:
Suspension or withdrawal of wardrobe loan privileges.
Requirement to repair or replace damaged wardrobe items.
Reimbursement of costs incurred by Miss Earth Kenya or its wardrobe partners.
Temporary suspension from official appearances until outstanding obligations have been fulfilled.
Additional administrative or disciplinary action as determined by the Miss Earth Kenya.
